3.1 Website visitors

3.3 Client and contract data
When we provide property maintenance, repairs, or building services, we collect and process personal data about our clients, client representatives, and residents or occupants of properties at which we carry out work. This may include names, contact details, property addresses, access requirements, and correspondence relating to works.
Lawful basis: Performance of a contract; legitimate interests in delivering our services safely and effectively; legal obligations under health and safety, building, and housing legislation.
3.4 Recruitment and job applications
If you apply for a role with us (whether directly through our website, by email, or through a recruitment agency), we collect your name, address, email address, telephone number, curriculum vitae and employment history, qualifications and professional memberships, right to work documentation, and references.
Where a conditional offer is made, we will also carry out pre-employment checks including identity verification, proof of qualifications, and (where required) a criminal records check via the Disclosure and Barring Service (DBS) or Access NI, arranged through the Government Recruitment Service. We will also request a health questionnaire to confirm fitness to work.

Where we use third-party recruitment agencies, information collected by those agencies is retained on our behalf for up to 12 months following the end of our agreement with them.

- Axis CLC Group companies: Other companies within the Axis CLC group where necessary to deliver services, manage shared HR functions, or fulfil legal obligations.
- IT and technology providers: Companies that host our website, provide email services, or supply other technology platforms. These companies process data on our behalf as data processors under appropriate contractual protections.
- Microsoft Corporation: We use Microsoft Dynamics CRM to manage and store customer data securely in the cloud. Data is not held in physical backup on site.
- Google LLC: We use Google Analytics to understand how our website is used. Google may process your data on servers in the United States (see Section 6).
- ActiveCampaign LLC: We use ActiveCampaign for email marketing communications. ActiveCampaign may process your data on servers in the United States (see Section 6).
- DocuSign Inc.: We use DocuSign to send employment offer documents for electronic signature. DocuSign processes data on our behalf as a data processor.
- Subcontractors and supply chain partners: Where necessary to deliver property maintenance and building services.
- Professional advisers: Solicitors, accountants, insurers, and other professional advisers where necessary.
- Regulatory and public authorities: HMRC, the Health and Safety Executive, local authorities, the Information Commissioner’s Office, courts, and other public bodies where required by law or to establish, exercise, or defend legal claims.
6. International Transfers of Personal Data
Some of our service providers are located outside the United Kingdom, which means your personal data may be transferred to, and processed in, countries that may not have the same level of data protection as the UK.
